How Kiddies Aqua Swimming Academy™ collects, uses, and protects your personal information in compliance with POPIA.
Kiddies Aqua Swimming Academy™ (Pty) Ltd ("we", "us", "KASA") is committed to protecting your personal information. This Privacy Policy explains what information we collect, why we collect it, how we use and protect it, and what rights you have — in compliance with the Protection of Personal Information Act, 2013 (POPIA) of South Africa.
1. What Personal Information We Collect
We collect only the information necessary to provide swimming lesson services to you and your family. This includes:
Parent / Guardian Details
- Full name
- Mobile number (for WhatsApp and SMS communication)
- Email address
- Physical address (for branch record-keeping)
Swimmer / Child Details
- Child's full name
- Child's date of birth or age
- Medical conditions or special needs (only if relevant to safe lesson delivery)
- Swimming level and progress notes
Payment Information
- Payment references for EFT payments made directly to your branch (we never ask for or store your banking login details)
- Online card payments (where offered) are processed by PayFast — we do not store card numbers on our systems
- Payment history for our records
Usage Data (website only)
- Anonymised analytics (page views, session duration) via Google Analytics 4 and Meta Pixel — only after you accept analytics cookies (see Section 6)
- Form submissions (free lesson requests, enrolment enquiries)
- Messages you type into the AI chat assistant (stored in your own browser; processed by our AI provider to generate replies — please don't share sensitive information in the chat)
2. How We Use Your Information
Your personal information is used solely for the following lawful purposes:
We will not use your personal information for any purpose not listed above without first obtaining your explicit consent.
3. How We Store and Protect Your Information
Security Measures: Your personal information is stored on secure, access-controlled systems. Only authorised KASA personnel at your branch and our head office have access to your data.
Payment Security: All payment processing is handled by PayFast, a PCI-DSS compliant payment gateway. We do not store credit or debit card numbers on our systems.
Retention Period: We retain your personal information for as long as you are a KASA member and for a period of five years thereafter (for legal and tax compliance), after which it is securely deleted or anonymised.
Photography: Photographs taken at KASA premises may be used on our social media, website, or marketing materials. You may opt out of photography consent at any time by notifying your branch in writing.
5. Your Rights Under POPIA
As a data subject under POPIA, you have the right to:

Request a copy of the personal information we hold about you
Correction
Request correction of inaccurate or incomplete information
Deletion
Request deletion of your information (subject to legal retention requirements)
Objection
Object to the processing of your information for direct marketing purposes
Complaint
Lodge a complaint with the Information Regulator of South Africa
Withdraw Consent
Withdraw consent for optional uses of your information at any time

7. Changes to This Policy
We may update this Privacy Policy periodically to reflect changes in our practices or South African law. Material changes will be communicated to active members via email or WhatsApp. The current version is always available on this page.
